An agency can answer several clients' Instagram DMs without per-contact fees by picking a tool that bills per social account or per seat, then routing every client into one shared inbox. BetterSocials is best for agencies answering clients' comments and DMs in one inbox: Team is $99 a month, or $79 billed yearly, for 12 social accounts, unlimited teammates and unlimited contacts. If every client lives only on Meta's apps, Meta Business Suite can do the routing at no cost.

The short answer for agency operators

BetterSocials, ManyChat and the per-seat suites each meter something different, and that meter shapes your bill more than any feature list. Per-contact pricing means the monthly price rises with the number of people a tool counts on an account that month. Per-seat pricing rises with your headcount, while per-account pricing only goes up when you add a client's profile.

We wrote this one as a how-to, so the BetterSocials and Meta Business Suite sections carry numbered setup steps. Every price comes with the month we read it: ManyChat in September 2026, Agorapulse in July 2026, and Hootsuite, Sprout Social, Vista Social and BetterSocials in October 2026.

Which DM tool should an agency pick to avoid per-contact fees?

BetterSocials is the pick when you want the number of clients to set the bill instead of the size of their audiences. Contacts, DMs and keyword automations are unlimited on every plan.

Smaller agencies can start lower, on Creator at $29 a month or $24 billed yearly for 4 accounts, or Pro at $49 a month or $39 billed yearly for 6, each with one login.

ManyChat is where most comparisons start, and its bill follows the client's audience. ManyChat Pro is $39 a month, or $29 billed yearly, with 2,500 active contacts, as of September 2026 (ManyChat pricing). A client whose Reel takes off pays for every extra person that month.

The table opens with BetterSocials, then runs from no meter to the meter that grows with a client's audience. Prices are the vendors' listed rates: ManyChat as of September 2026, Agorapulse as of July 2026 and the rest as of October 2026.

ToolMeterPriceBest for
BetterSocialsSocial accounts$99 monthly or $79 yearly, 12 accountsAgencies with up to 12 accounts
Meta Business SuiteNone$0A few Meta-only clients
Vista SocialPlan$99 monthly or $80 yearly, two usersTwo-person teams wanting DM automations
AgorapulseUsers$79 a user, billed yearlyTeams that also answer reviews
HootsuiteUsers$99 a user, billed yearlyTeams on per-user budgets
Sprout SocialSeats$199 a seat, billed yearlyMarketing departments with seat budgets
ManyChatActive contacts$39 monthly or $29 yearly, 2,500 contactsAutomated DM funnels

Meta Business Suite is the cheapest line on the table. An agency whose clients only use Instagram, Facebook and WhatsApp may need nothing else. Vista Social Professional matches BetterSocials Team on monthly price, but with two users where Team has unlimited teammates.

Pick ManyChat if a client's sales run on automated DM funnels across Instagram, Messenger, WhatsApp and TikTok. Pick a per-seat suite if your team already does its publishing and reporting there.

How to set up BetterSocials for several clients

BetterSocials puts every connected account's comments and DMs in one Inbox, with Needs reply and Replied views, tags, leads and archive. In BetterSocials's terms, comment-to-DM means a keyword in a comment sends the person a DM with a link. Setup takes five steps:

  1. Pick the plan by account count. Creator covers 4 accounts and Pro covers 6, each with one login, while Team covers 12 accounts with unlimited teammates. Every plan has a 7-day free trial, and the trial needs a card.
  2. Connect each client's accounts from Connected Accounts in the sidebar. You sign in on the platform's own screen, so the password never touches BetterSocials, and it takes under a minute.
  3. Invite teammates by email from Settings, then Team.
  4. Add a keyword for each client's offer. The keyword posts a public reply and, on Instagram and Facebook, sends a DM with the link. You don't build a flow, and there's no cap on how many keywords you add.
  5. Give one person the Needs reply view every day. Set AI replies for DMs to Draft for me, and each new DM gets a draft in the owner's voice that a person sends.

For comments, Draft for me writes a reply to each new comment, and nothing posts until someone approves it, either one at a time or with Approve in bulk. DMs have the same settings in their own section. On Reply in my voice, a DM gets an answer about a minute after it arrives, and a keyword comment on Instagram or Facebook also sends a DM with the link.

Platform rules apply to every tool. Instagram only lets a business reply to a DM within 24 hours of the person's last message. On TikTok and YouTube, a keyword posts a public reply with the link, because no tool can turn a comment there into a private DM.

BetterSocials does not connect WhatsApp, Telegram, SMS or email inboxes.

Can a shared DM inbox do the job of a social CRM?

BetterSocials covers the front half of a social CRM: catching the lead and flagging it. Every new comment and DM gets a tag when it arrives (Lead, Spam, Support, Comment to DM or Archived), and owners can add their own. A Lead tag marks someone asking about price, booking or availability, and lead detection is free and on by default.

The alerts handle the handoff. A new lead sends a push notification to the owner's phone, and unanswered leads get at most one reminder email a day. Tracked links and a contacts list, both in beta, show which comment or DM led to a click.

The back half belongs in a pipeline CRM such as Kommo, HubSpot, GoHighLevel or respond.io. If your team moves deals through stages, keep the pipeline in the CRM and treat the inbox as intake. A small business whose leads all arrive in DMs can get by on the tags alone until its deals need stages.

BetterSocials has no Zapier or Make integration, so getting leads into a CRM means writing a script against its API. The inbox endpoint takes a leads filter, and API keys live in Settings, then API and AI keys.

What does ManyChat's contact pricing cost per client?

ManyChat bills by active contacts per month and charges overage monthly, even on annual plans, as of September 2026. Month-to-month, Essential is $17, Pro $39, Business $99 and Advanced $199. Billed yearly, the same plans work out to $14, $29, $69 and $139 a month, holding 250, 2,500, 7,500 and 25,000 contacts.

Each extra contact on monthly billing costs $0.10 on Essential, $0.05 on Pro, $0.025 on Business and $0.004 on Advanced. Here's what one client's bill looks like in a busy month:

  • A client on Pro month-to-month who reaches 4,000 contacts pays $39 plus $0.05 for each contact past 2,500, or $114.
  • A client on Business month-to-month at 10,000 contacts pays $99 plus $0.025 for each contact past 7,500, or $161.50.
  • The same 10,000 contacts on Business billed yearly come to about $114, at $69 plus $0.018 for each contact past 7,500.

ManyChat is cheaper for a quiet client. Essential at $14 a month billed yearly, for 250 contacts, costs less than any BetterSocials plan. BetterSocials's higher floor buys you the same price in a viral month, plus comments and posting across six platforms.

Which shared inboxes charge per seat, and what do three seats cost?

Hootsuite, Sprout Social and Agorapulse charge per person, so your headcount is the meter. As of October 2026, Hootsuite includes its inbox from Standard at $99 per user a month, and Sprout Social puts its inbox on Standard at $199 per seat a month, both billed annually. Agorapulse is $79 per user a month on annual billing, as of July 2026 (Agorapulse pricing).

Three teammates on annual billing cost this much a month:

  • Agorapulse comes to 3 x $79, a little under two hundred and fifty dollars, with 10 social profiles per user.
  • Hootsuite Standard comes to 3 x $99, just under three hundred dollars.
  • Sprout Social Standard comes to 3 x $199, just under six hundred dollars.
  • BetterSocials Team stays at $79 billed yearly, for 12 accounts and unlimited teammates.

Agorapulse earns its seat price if client reviews matter to you as much as DMs. Its inbox is on all four plans and handles comments, DMs and reviews, and extra profiles cost $10 a month each on annual billing or $15 on monthly, per its pricing page in October 2026. Hootsuite's inbox does not include YouTube comments.

Vista Social Professional is $99 a month, or $80 billed yearly, with two users and DM automations, as of October 2026. For a two-person agency, that's within a dollar of BetterSocials Team on yearly billing.

How do you give teammates client inboxes in Meta Business Suite?

Meta Business Suite lets you assign Inbox conversations to the people who help manage a business's Messenger, Instagram and WhatsApp, Facebook and Instagram comments included (Meta's help page on assigning conversations). A teammate needs Facebook access to the Page, or task access to Messages. Only someone with full control of a client's business portfolio can add people.

These steps follow Meta's help center as we read it in October 2026:

  1. Open Settings in Meta Business Suite and click People.
  2. Click Invite people, then select the business assets and permissions.
  3. Choose partial access for a teammate who answers messages (Meta's access levels). Partial access covers creating content, managing ads and responding to messages.
  4. Ask the teammate to accept the invitation. People get basic access by default.

Temporary access exists for short engagements, but it only gives basic access, for 3 to 75 days.

Meta's comment-to-message automation is free and sends templates you write. You set it up on desktop, and it waits 15 minutes before sending unless you reply first. It does not cover any platform outside Meta's own apps or draft replies in your voice, and turning on Meta Business Agent pauses your existing automations.

FAQ

Does ManyChat charge per contact on Instagram?

ManyChat bills by active contacts each month. Pro is $39 a month with 2,500 active contacts, or $29 a month billed yearly, and each extra contact costs $0.05 on Pro month-to-month. ManyChat charges overage monthly, even on annual plans, per its pricing as of September 2026.

Can Meta Business Suite manage Instagram messages for multiple clients for free?

Meta Business Suite can, inside Meta's own apps. It lets you assign Instagram, Messenger and WhatsApp conversations to teammates who have task access to messages. Someone with full control of each client's business portfolio has to invite you first.

Is there an Instagram DM tool with unlimited contacts and flat pricing?

BetterSocials bills per social account, with unlimited contacts and unlimited DMs on every plan. Creator is $29 a month for 4 accounts, Pro is $49 for 6 and Team is $99 for 12 with unlimited teammates. Billed yearly, they're $24, $39 and $79 a month.

What does a social media CRM do with Instagram DM leads?

A social media CRM turns DMs into leads that someone follows up on. In BetterSocials, every new comment and DM gets a tag on arrival, a Lead tag marks questions about price, booking or availability, and the owner's phone gets a push notification. Tracked links, in beta, show which comment or DM led to a click.

How long does a business have to answer an Instagram DM?

Instagram gives a business 24 hours from the person's last message. After that, the conversation is closed to business tools until the person writes again, and Meta deprecated the message tags that tools used outside that window in April 2026. You can still answer in the Instagram app.

Can AI answer Instagram DMs for my clients automatically?

Yes. In BetterSocials, AI replies have a DMs section with Off, Draft for me and Reply in my voice, for Instagram, Facebook and TikTok DMs. On Reply in my voice, answers go out on their own inside the AI rules you write, and questions the rules don't cover wait for a person. On Draft for me, a person sends each one.
